THE PROBLEM

Our organization relied on five separate systems to store and present digital documents including customer applications, billing forms, sales materials, and internal reference files.

Marketing was responsible for maintaining each platform independently, which created a time-intensive and error-prone process. Because updates had to be made manually and repeatedly across multiple systems, version control became a persistent challenge: some platforms displayed outdated information, others lacked required documents entirely, and there was no reliable mechanism to track where updates had been applied.

This fragmentation created operational risk, inconsistent customer experiences, and unnecessary staff workload.

THE SOLUTION

To eliminate redundancy and strengthen governance, we implemented a centralized Digital Asset Management (DAM) system using Bynder. As the system administrator from initial setup through launch, I established the foundational structure required for long-term scalability and adoption.

This included defining user roles and groups, creating a clear and intuitive naming convention, building a robust asset taxonomy and folder structure, and configuring security and permission controls.

I also customized homepages, oversaw integrations with existing internal and external websites, and led onboarding to ensure teams understood how to upload, manage, and distribute assets efficiently within the new platform.

THE RESULTS

The new DAM created a single source of truth for all customer-facing and internal documents, with automated integrations ensuring the latest version appeared consistently across both public and internal websites. This significantly reduced the risk of outdated or incorrect information being displayed, improved operational accuracy, and greatly reduced the staff time required for updates.

Additionally, built-in analytics provided visibility into which documents were viewed and downloaded most often, enabling more informed, data-driven decisions across the organization.
